In addition to adding participants to the platform one at a time, an import can be done to upload multiple participants at once, via a spreadsheet upload.
To upload a spreadsheet, follow the steps below:
- Choose the event from the company dashboard
- In the left-side navigation, click the down arrow next to Event Overview to expand the menu options
- Select Participants
- Click on the New Import button to be taken into the Imports section
- Click on the New Import button and select a file from your device to upload
- Update the Import Mode
- Import Only: To import a new list of participants. If the email already exists, a duplicate record will be created
- Import and Update: To import and update participant records. If the email already exists, the record will be updated with the new data, not duplicated.
- Check the boxes next to Import First Row, Send Email, and/or Add Leads Activation Code to apply
- Import First Row: Select if you want the first row of a spreadsheet to be imported
- This will default to no as the typical spreadsheet will have headers in row 1
- Send Email: Trigger an email to send to the imported participants
- Add Leads Activation Code: If participants are using lead retrieval, you can generate an activation ode to be assigned during the import
- An activation code email will be sent to these participants upon import completion
- Import First Row: Select if you want the first row of a spreadsheet to be imported
- Assign each column a field name by clicking the drop-down arrow and selecting the correct field
- For example: the column with first name data in it, you will select First Name from the dropdown
- Click the Start Import button
After the import is complete, the system will display a summary indicating:
- The number of successful entries, noted in green
- The number of failed entries, noted in red
This allows you to quickly identify and address any issues with the import.

Common reasons an import fails:
- Examples of invalid data are as follows:
- Invalid characters in email addresses such as +; *
- Spaces in the spreadsheet
- Blank emails or incorrectly formatted emails like "registrationtech@.com"
